Moving or copying a folder

You can move or copy a folder (directory node) to a different directory within the digital asset hierarchy.

Moving a folder removes it and its child nodes and assets from the original location in the digital asset hierarchy and places it in a destination location.

You can move a folder that contains up to 500,000 assets (including the assets in any subfolders). Moving a folder that contains more than 500,000 assets may cause the process not to finish, which may cause data and program errors.

Copying a folder places a copy of the original folder in the destination location. A folder copy is not linked to the original folder. When you copy a folder that contains child assets and folders, you are prompted whether you want to copy the child folders and link the child assets in the original folder to child assets in the copied folder. If you choose to link child assets in the original folder to child assets in the copied folder, a linked copy of each child asset is placed in the folder copy. If you choose to not link the child assets, only a copy of the original folder is created in the destination folder.

You can copy a folder that contains up to 2,500 assets (including the assets in any subfolders). When you exceed that amount, processing the task may take more than five minutes, which may cause an error message to appear. You can close the error message and the copy function will continue to process until is has completed but will not inform you when it has completed or if it has completed successfully. For best results, avoid copying folders that contain more than 2,500 assets.

You cannot move or copy a parent directory node into a child directory node.

Note the following information about linking child assets:

•

If you choose to link the child assets in the original folder to the child assets of the copied folder, any changes you make to either copy of the asset will be automatically made to the associated child asset.

•

If you delete a linked child asset from either folder, only the selected child asset is removed from the digital asset hierarchy. To remove all linked copies of a child asset, you must manually delete each linked copy from the digital asset hierarchy.

•

If all linked copies of an asset that referenced an uploaded file are deleted, the file will also be deleted.

The folders that you can move or copy depend on the permissions of your login and of the folders and child assets (if any). If your login does not have the required permissions to move or copy a folder, that folder or asset will not display in the Directory tree. If your login can see a particular folder, but the folder contains child folders or assets for which you do not have required permissions to move or copy, you will not be able to move or copy the folder.

To move or copy a folder

Choose Assets from the navigation pane.

The Assets page displays. The digital asset hierarchy appears under Directory.

Do one of the following:

•

Use the Directory hierarchy to locate the folder you want to copy or move. Refer to Navigating the digital asset hierarchy for information about navigating to a particular directory node and digital asset.

•

Use Search Assets by Name to find the folder (for more information, see Searching for assets).

Click the icon (

) for the folder, and drag it to the folder into which you want to copy it or move it.

In the confirmation dialog box, do one of the following.

•

Select Link to copy the folder into the destination folder.

•

Select Move to copy the folder to the destination folder while deleting the original folder.

•

Select Cancel to end the current operation and not copy or move the selected folder.

If you selected Link in step 5, the following prompt displays.

Do you want to copy child folders and link the child assets to the new copy?

Select one of the following:

•

Yes copies any child folders into the destination folder, and links any child assets to copies of the child assets in the new folder.

•

No copies of the folder into the destination folder, but does not create any linked child assets in the new folder.

•

Cancel ends the current operation and does not copy the selected folder.
